The role's duties and accountabilities include, but are not limited to:
Property / Asset Management
- Maintain regular communications with tenants acting as key contact for lease related issues and a point of escalation for any operational matters.
- Build strong operational relationships with tenants and internal and external stakeholders that assists in enhancing our clinets business reputation.
- Regular tenancy inspections and reporting, with key stakeholders notified, and reports filed in line with agreed schedule.
- Maintain up to date tenant contact register.
- Monitor lease compliance and where necessary recommend and manage remedial action to protect asset value, rectifying any compliance issues as required.
- Folders created and filing maintained in accordance with agreed guidelines
- Assist with both the negotiation and preparation of commercial offers and formal contract documentation.
- Ensure negotiated outcomes are tracked and properly documented based on suitable legal advice, ensuring documentation is approved and executed
- Ensure leases are billed accurately with invoices issued in line with lease terms and supporting tenant correspondence provided
- Minimise outstanding debtors working proactively with Accounts Receivable on allocations, reconciliations and debtors management
- Ensure tenant Insurance Certificates and Financial Security is tracked and up to date with individual contract obligations
- Assist with budgeting, forecasting and budget variance analysis
- Timely administration of lease obligations to support developers Planning and approved capital projects in line with company strategic framework and approved capital plan.
The successful candidate will have:
- Tertiary qualifications in property, finance, commerce or similar
- 2+ years working in Industrial and OR commercial property preferred
- Ability to develop long term relationships and negotiate successful outcomes in a tenant facing property management role
- A solid working knowledge of property law, contract law, valuation, property practices and principles, risk management, environmental and OSH obligations
- Excellent interpersonal skills, with the ability to communicate effectively with stakeholders at all levels
- A full clean driving licence (weekly travel will be required across the Melbourne portfolio)
